Chapter Committees

Our committees give you one or more opportunities to participate in the activities and rewards of belonging to the Washington, DC – Baltimore (WDCB) Chapter. We are always looking for volunteers to help on any of these committees. If one, two, or even three peak your interest, contact the committee manager to find out when and where events take place.

How to Join or Manage a Committee

If you are interested in applying for one of the vacant committee manager slots or forming a new committee or SIG, please contact Tavia Record, the chapter president.

There are several ways to join a committee. First, check job descriptions for each open position in the list of all Current Chapter Volunteer Openings. Then do one of the following:

  • Submit the Chapter Volunteer Signup Form.
  • Contact the specific committee manager.
  • Give your contact information to the Volunteers Committee Manager,
    Tavia Record, or to one of our Chapter Officers at the next chapter event.

Feel free to join more than one. Your experience and knowledge may be exactly the type of help a committee needs.

Chapter Committees

Audit Committee

The Audit Committee verifies the chapter's accounts and assets. The audit compares deposit slips, receipts, and checks with ledger entries for accuracy; verifies that all expenses were appropriate for the chapter and were charged to the correct account; and checks that the books balance and correspond to the chapter's bank statements. The audit committee should maintain an inventory and verify the whereabouts of equipment and software assets purchased for use by the chapter. The auditor may not be an active Administrative Council member.

Bylaws Committee

The Bylaws Committee monitors the chapter's adherence to the Bylaws, reviews the descriptions of the duties and responsibilities of the chapter officers and other members of the Administrative Council, and makes recommendations for modifications needed to the Bylaws if procedures or election rules are changed. If changes are needed, the Bylaws Committee prepares proposed changes for review by chapter officers; coordinates updates, review, and Society approval with the Bylaws Advisor in the Society office; and includes the proposed changes on the election ballot for the spring. Approved modifications are included in the bylaws and a final copy is sent to the Society office.

Community Service

The Community Service Committee works on finding projects where members of the Washington, DC – Baltimore (WDCB) Chapter can volunteer to help serve their community. Participating in community service projects within the STC not only provides personal fulfillment for doing a good deed, but can also generate positive publicity and recognition for our chapter. Competition

This committee operates in two different modes.  Revised

Mode 1 is when the chapter is sponsoring and hosting our own Technical Communication Competition. The Competition Committee plans, organizes, and executes the chapter's competition. Activities include the production and distribution of a Call for Entries, receipt of entries and entry fees, recruitment of judges, coordination of entries and judges for judging the entries, production and distribution of letters of award notification and judges’ evaluations, and the production of the awards celebration and award certificates, presentation of awards, submission of qualified entries to STC's international competition (if applicable), and disposition of all other entries. One person has the responsibility for this committee's function and may appoint subcommittee managers for each competition and other roles as needed.

Mode 2 is when the chapter is participating in the STC Alliance Competition with other chapters and one of them is hosting and organizing the competition. In this mode, the chapter's contributions are handled by a competition chapter representative to the STC Alliance Competition committee. Our chapter prepares the award certificates and plans our own awards celebration for our chapter members who won awards. The chapter representative may recruit others to help find judges, publicize the competition and awards celebration to our chapter members, and help as needed in other areas.

Education

The Education Committee plans, organizes, and executes the annual Austin T. Brown High School Technical Communication Competition, and the Shirley G. Carter Memorial Award sponsored by the chapter. Activities include the production and distribution of forms, receipt and judging of entries, production and distribution of letters of award notification, presentation of awards, submission of qualified entries to STC's International Student Technical Writing Competition, and disposition of all other entries. The committee also helps respond to inquiries about educational requirements and resources. Committee members may also participate in community educational programs.

Employment

The Employment Committee maintains the WDCB Jobs Board for Washington, DC – Baltimore (WDCB) Chapter members and potential employers. (Members who are looking for work may create resumes online and keep them up to date themselves on the STC Jobs Board). Committee members participate in developing the Salary Survey and assist in publishing the results of the survey. The Employment Committee also provides members with informal "career counseling" and helps potential employers identify their needs. This personal touch makes the Employment Committee a powerful advertising tool for both the Washington, DC – Baltimore (WDCB) Chapter and the field of technical communication itself. Events and Knowledge University

The Events and Knowledge University Committee identifies topics of interest to chapter members and recruits experts to speak on these topics at chapter events. The committee plans, organizes, promotes, and conducts five or more chapter events from September through June. The committee also arranges other activities as directed by the administrative council. Duties include making arrangements for the event, including the location, food, and registrations; tracking receipts and expenditures; preparing notices for the website, Facebook, Twitter, and other social media; preparing and disseminating reminder cards or electronic announcements; and ensuring smooth execution of an event or workshop. This committee works with the Publicity Committee, and the Website Team to publicize chapter events. After each event, the committee solicits and publicizes evaluations from the attendees through a survey or comments form.

Membership

The Membership Committee recruits new members through an active membership recruiting campaign, maintains lists of current and prospective members, answers questions prospective members might have, and sends them an information packet. The committee provides mailing labels for event flyers, and other related chapter business; publishes lists of new chapter members in the Events & News site; may develop and publish a chapter membership directory; and generally seeks to increase chapter membership.

Nominations

The Nominations Committee conducts the annual elections and recommends qualified candidates from the chapter for STC honors and awards. The committee solicits candidates for the administrative council and works with the President and the Volunteers Committee to solicit volunteers for chapter committee positions. The committee prepares nomination material for the honorary rank of Associate Fellow, the J.R. Gould Award, and other Society awards or honors that are presented to the STC Board for consideration. The committee performs such other duties as the President or administrative council may assign.

Publicity

The Publicity Committee plans and develops publicity for chapter events through news releases to local newspapers, the chapter's Events & News site, and other publications and media as appropriate, or as directed by the administrative council. The committee creates and maintains a chapter brochure, coordinates publicity with other committees, prepares event announcement postcards, distributes publicity to local student chapters, designs and updates the chapter's calling card with the scheduled events for the year.

Strategic Planning

The Strategic Planning Committee defines the chapter's mission and where the organization is headed for the next 3 years. The committee sets strategic goals for the chapter and defines ways for implementing those goals, evaluates the capabilities needed to meet the strategic objectives, defines tasks needed to achieve critical success factors, and measures whether the strategy is being met.

Volunteers

The Volunteers Committee recruits volunteers for committees and chapter offices.
